Record Management – to prevent tragedy - חלק II

-          The information requiring conversion to records has to be identified. Thus , information fields specific to the requirements of the organization are to be identified.

-          Policies and practices for handling of records have to be determined. The organisation, security and disposal policies have to be set.

-          A records storage plan is to be devised. The storage plan includes the planning for actual physical storage or digital information storage for both long-term and short-term.

-          The actual classification and storage of record data.

-          The access to the information stored in the records is to be co-ordinated both internally within the organization and also public access. The concerns of corporate confidentiality, privacy, public access and such others are addressed.

-          The eventual destruction or preservation of the records after their operational requirements has been fulfilled. The company policy or statutes and regulations determine whether a record is to be destroyed or permanently preserved in an archive.

In the past few years records management has become a point of interest among corporations over new stringent statutes and regulations. Privacy, piracy, data theft and its protection have become growing concerns. Another point of interest has been the effect of social media like facebook, twitter or wikis on records management procedures and policies. Also of interest is the media of storage, with the impetus on digital storage of media than traditional paper based, but questions have been raised over security and long-term storage issues.
